What is trust accounting?

Trust accounting keeps your booking money accounted for transparently. Every payment a guest makes is recorded and held in trust for you, with the management fee and any expenses itemised, so you always know your net payout.

How are funds held in trust?

When a booking is paid, the full amount is recorded as held in trust against the relevant property. It stays held until it is disbursed to you, and every movement is timestamped and cannot be edited once saved.

How are deductions calculated?

Each booking is settled net of its charges: the management fee (your configured commission rate; bookings through your own connected gateway carry no platform fee), any cleaning fee, your itemised expenses, and any damage claims. Your net payout is the booking income minus all of these.

How do I add an expense?

Open Trust Accounting, click Add expense, pick the reservation it relates to, and enter a description, amount and date. You can also attach a receipt. Every expense is linked to a reservation and deducted from your net payout.

How do I download a statement?

In Trust Accounting, pick a month and click Download statement. You get a PDF listing all income, deductions and your net amount due for that month.

When are payouts made?

Payouts are disbursed by the platform and marked against each booking with a date and reference number. You will get a WhatsApp and email notification when a payout is disbursed, and the history is always visible under Payouts.

What happens to security deposits?

Security deposits are held in trust for your guests as a separate liability — they are never counted as your income or available funds. After checkout the deposit is either applied against documented damages or released back to the guest, and its status is shown on the booking and in your statement.

What does 'Pending Reconciliation' mean?

It means the booking's charges are not yet fully settled. Before a payout can be disbursed, the management fee, cleaning fee, expenses and any damage claims must all be entered and confirmed. Until that happens the booking shows 'Pending Reconciliation' and disbursement stays locked.
